| How to Organize a Seminar? | Seminars have always been executed as a holistic experience to participants. Therefore, organizing a seminar requires wide planning and preparation with most work implemented at least a few months previous to the definite event. The majority of the time, seminars seem to run like clockwork with all events flowing smoothly according to schedule. In fact however, much groundwork has been worked on with the purpose of developing the right atmosphere in addition to an advantageous experience to participants.
Establish the theme of the seminar Every seminar follows a theme and reason which will drive the event system, the target audiences or the participants, the guests and the marketing approach. The theme of the seminar will also establish the kind of marketing channels to be used to for publicity.
Select a place The place selection is highly dependent on the scale of the seminar. Typically this is established by the number of participants, the presence of any guests of honor the activities during the seminar, or if there are extra floor space required for exhibition purposes.
A characteristic seminar of about 100 – 200 can be comfortably implemented in a hotel seminar room, perhaps in a theater style setting or classroom setting. On the other hand, larger scale seminars with participant numbers scaling between 500 – 1000 may require a large hall, ballroom, auditorium or a convention center.
Collaborate with sponsors Getting highly regarded sponsors to contribute in an event will help increase the reliability of the seminar, in addition to reducing costs. Moreover sponsors can help with marketing, as they also help publicize your seminar to their customers. Aside from that, a number of the sponsors can chip in on place rental in return for exhibition space or publicity for themselves. A number of sponsors also need a short message of their company to be given to the participants during the seminar. Others give away example products or door gifts to participants.
Manage people and work with speakers A seminar will not be successful without the people running it, in addition to the speakers sharing their knowledge to the participants. Invite competent and reputable speakers to the seminar. They will provide the participants with appropriate information to their work, industry or business. Prepare the speakers in advance and work with them on their Power point presentations in addition to pre-informing them of the logistics processes, timing and the expected audience size. Check with them on any particular requests, such as the requirement for an overhead projector or extra microphones to be used for question and answer sessions.
